Membership tracking setup

Time-limited access: tracking joins, notifying on expiry, and arming automatic removal safely.

What it does

ScoutBot records when a member starts being tracked, and notifies you when they pass the time limit you set. It can also remove them automatically.

Tracking settings

The switch starts tracking new members and enables the expiration notifications. Turning it off stops both without discarding who is currently tracked.

One thing to know about this page: the Save button under the first card applies to that card and the one below it, and nothing further down. The tracked-members list and the manual-add form each act on their own.

Channel and alert role

Where expiration notifications are sent, and optionally a role to mention. Set the channel — a notification with nowhere to go is the main way this plugin appears to be broken when it is working.

Time limit

How many days a member may stay, from 1 to 3650. Counted from when tracking started for that member, not from when the plugin was switched on.

What happens at the limit

ScoutBot notifies you, and can optionally kick the member automatically.

Automatic removal deserves more caution than any other setting in the product. It is the only control that removes people from your server with nobody reviewing the decision, which is why the dashboard asks you to confirm when you switch it on. Run it in notify-only mode for at least one full cycle and read what it would have removed before arming it.

Automatic kicking is a Pro feature. Tracking and notifications are free.

Tracked members

Everyone currently counted against the limit. ScoutBot stops tracking a member once they pass it, or when they leave the server — so this list is who is currently on the clock, not a history.

You can stop tracking anyone individually, which is the right move for somebody who has become a permanent member.

Adding members who joined earlier

Tracking starts when the plugin does, so members who joined before that are not on the list. The manual add form is for them.

You need their Discord user ID — enable Developer Mode in Discord's advanced settings, then right-click a member and copy it. Leave the date empty to start their clock today, or set a custom join date to count from when they actually arrived.

Testing it

From inside Discord, !scout test_membership sends a test notification so you can confirm the channel and role mention are right without waiting for somebody to actually expire.
